Our W-9 preparation guide explains taxpayer names, identification numbers and secure delivery. Keep the certificate separate from your contractor payment records.

BEFORE YOU BEGIN

A few helpful answers.

Why is there no tax-year selector?

W-9 is revision-based, not an annual return. The current IRS form is revised March 2024 and can be used in 2025 and 2026. Your PDF retains that official revision date.

Who should use W-9?

W-9 is for U.S. persons, including U.S. resident aliens and domestic entities. Foreign persons generally provide the appropriate Form W-8 or Form 8233 instead.

What if I have a single-member LLC?

A disregarded entity generally enters its owner’s name on Line 1, its business name on Line 2 and its owner’s tax classification. An LLC taxed as a corporation or partnership checks LLC and supplies C, S or P.

Can I sign on screen?

Yes. Draw your signature, choose the signing date, review the certification and explicitly apply the signature. Changes to your certificate require applying it again. Print and sign later is the default.

What if I am subject to backup withholding?

The optional backup-withholding notice crosses out item 2 of the Part II certification. Use it only if the IRS notice described in the form applies, and review the preview before signing.

Does this send my W-9 to the IRS?

No. Give the completed W-9 to the requester. Purchasing does not file it with the IRS or send it to the requester.

Can I save and return later?

Yes. Save for later creates a private 30-day link. Completed orders have a private 90-day access link. Completed-order emails include a private access link.
